Tenant(s) Requirements

    1. The tenancy is subject to contract and satisfactory references.
       
    2. To begin the tenancy, we require one month’s advance rent and a damages deposit equivalent to one month’s rent. To withdraw the property from the market in your favour while references are being taken, we require a holding deposit equivalent to one week’s rent. This holding deposit is considered as security of your interest. It is not refundable if you withdraw from the tenancy prior to the commencement date or provide false or inaccurate information on your application form. However, should the Landlord withdraw the holding deposit will be refunded. The deposit is credited against the completion money due at the beginning of the tenancy.
       
    3. All payments must be cleared through our bank before occupancy. We request a faster payment transfer. We regret that we cannot accept credit or debit cards.
       
    4. Depending on your current circumstances we require two or three references: (a) Employer’s reference or accountant’s reference.
      (b) Previous/current Landlord reference (if applicable).
      (c) A satisfactory credit check.
      References are subject to the Landlord’s approval before a commencement date can be confirmed.
       
    5. We are legally required to establish all tenants’ right of residence in the U.K. We will request sight of original identity documents and retain copies on our files.
       
    6. You will need to visit the office on the commencement date to conduct the formalities and receive the keys. You will be asked to sign an inventory and it is in your interests to ensure that it is accurate and reflects the quality and quantity of the contents. No discrepancies can be entertained after three days from the commencement date.
       
    7. Where we are instructed by the Landlord to manage a property, we carry out periodic inspections, normally every three months. We will contact you to arrange a mutually convenient time.

Towards the End of Tenancy

  1. Two months before the end of a tenancy the Landlord can issue a Notice Requiring Possession or can offer to renew. Should you not wish to renew we ask you for at least one month’s notice before the expiry date to enable us to re-let the property.
     
  2. The tenancy agreement does not allow animals or domestic pets without the Landlord’s specific consent.
     
  3. At the end of the tenancy the tenant must ensure that all the obligations set out in the tenancy agreement are fulfilled and the property is left in the condition found on taking occupation. This includes thorough cleaning and returning all inventory items to their original positions to facilitate the final check.
     
  4. Your damages deposit CANNOT be used as the last month’s rent. Client funds are held in Williams and Donovan’s account at Barclays Bank but your damages deposit will be transferred to the custodial tenancy deposit scheme administered by The Deposit Protection Service. Alternatively, your Landlord may have their own protection arrangements. In either case you will be provided with a protection certificate.
     
  5. After an inventory check and final inspection, The Deposit Protection Service will be instructed to return the damages deposit, subject to no missing items or damage to the property or its contents (excluding fair wear and tear).

    This can take up to a maximum of 30 days to process and a further several days to reach you (once the claim/return of deposit is accepted). Therefore, please do not rely on the deposit for immediate use to fund a follow-on tenancy.
